Is this product (or the materials used to make it) compliant with regulatory requirements?

It’s a question that you encounter all too often. Unfortunately, what seems like a simple question sets off a complex chain of events, unraveling a web of challenges. You find yourself scrambling to gather relevant data, engaging multiple departments, and diverting critical resources. The repetitive and resource-intensive nature of this reactive approach, coupled with the fact that compliance is likely not your primary responsibility, consumes valuable time, amplifies inefficiencies, and exposes your company to significant risks.

Fortunately, there is a better way to respond to customer compliance data requests. Approaching product compliance management proactively allows you to streamline processes, ensure data accuracy, respond to requests, and strengthen customer relationships. Utilizing advanced compliance software and automation is the most effective and efficient way to maintain customer relationships and reduce risk. With Source Intelligence’s automated software, you’ll have the resources to answer questions about product compliance efficiently.

Customer requests: the problem with a reactive approach

We get it. You’re spending significant time (time not built into your daily schedule) manually performing all the tasks required to respond to a single customer request for product compliance data. These requests distract you from your core responsibilities, and something has to give. All too often, they end up slipping through the cracks.

Does this process sound familiar?

  1. A customer request is received by customer service, sales, or another relevant department.
  2. The customer request is forwarded to a Compliance Manager or an individual who handles compliance in addition to their primary role, who then must:
    1. Research parts and suppliers for the product(s) in question
    2. Create a list of parts with missing data
    3. Send the list to the Supplier Management Team
  3. The Supplier Management Team begins supplier outreach, which entails:
    1. Emailing suppliers with data requests for the parts with missing data
    2. Following up with unresponsive suppliers
    3. Compiling the supplier data, which is often sent via email attachments
  4. Once the supplier data is compiled, the Supplier Management Team sends it to the Compliance Manager, who then must:
    1. Analyze the various attachments containing the supplier data
    2. Record verdicts in an Excel spreadsheet or ERP system
    3. Roll up declaration verdicts
    4. Generate a declaration
  5. Once the declaration is generated, the Compliance Manager can finally respond to the customer’s request.

We’ve spoken with countless professionals who spend weeks, sometimes even months,  painstakingly moving through this process.

This reactive approach to customer requests for product compliance data can set your company back due to several critical pain points:

Inefficient and risky

Reactively addressing compliance requests is inherently inefficient. You scramble to gather the required information, which delays responses and creates bottlenecks. This reactive mode leaves your company vulnerable to errors, increasing the risk of non-compliance and potential legal issues.

Resource intensive

Responding to each customer request requires considerable resources. This inefficiency can lead to higher operational costs and reduced productivity, as multiple departments might need to collaborate to gather the necessary data and create documentation.

Distraction from core tasks

Handling regulatory compliance requests can divert time and attention from your team’s core responsibilities. When employees are pulled away from their primary tasks to manage compliance, it increases the risk of incomplete or incorrect submissions, leading to inefficiencies and potential errors.

Repetitive and lengthy processes

Gathering and submitting compliance data is often lengthy and must be repeated for every request, regulation, and product. This redundancy wastes time and increases the likelihood of inconsistencies, as the same information must be compiled and verified multiple times.

Continually changing regulations

Regulatory landscapes continuously evolve, and compliance teams often struggle to keep up with these changes. A reactive approach makes it difficult to stay current, leading to outdated or incorrect compliance data being submitted.

A reactive approach to product compliance can lead to serious repercussions. Delays in providing compliance data can result in lost customers, halted shipments, and even fines. These setbacks not only affect revenue but also damage customer trust and long-term business relationships.

Ultimately, these challenges illustrate just how critical it is to move towards proactive product compliance management.
